Rental terms & conditions

A request sent through this website, WhatsApp, phone or email is an enquiry, not a confirmed booking. Your rental is confirmed only when Royal Car Rentals replies confirming the vehicle, dates and final price.

Vehicles are subject to availability. If the exact vehicle you requested becomes unavailable, we will offer an alternative of a similar class and agree the price with you before handover. You are free to decline.

A rental day is counted as 24 hours from the agreed pickup time. Daily, weekly and monthly rates on this site are indicative; the applicable rate and the grace period for a late return are confirmed by Royal at booking.

Self-drive customers must hold a valid driving licence accepted in Rwanda and present identification (national ID or passport) at handover. Minimum driver age, minimum licence experience and the rules for adding an additional driver are to be confirmed by Royal. Only drivers named on the rental agreement may drive the vehicle.

Accepted payment methods and the payment schedule are agreed at booking. A refundable security deposit may be required; the amount depends on the vehicle and rental length and is to be confirmed by Royal in writing before handover. The deposit is returned after the vehicle is checked in, less any agreed deductions.

The vehicle is inspected together with you at pickup and at return, and the condition is recorded on the rental agreement. Please report any existing damage before you drive away.

Fuel is not included in the rental rate unless expressly agreed. The vehicle is normally returned with the same fuel level it had at pickup; the applicable refuelling charge if it is not is to be confirmed by Royal.

Any mileage allowance and the charge for excess kilometres are agreed per rental and stated on the rental agreement. Do not assume unlimited mileage unless it is written in your agreement. Travel outside Rwanda requires prior written approval.

You are responsible for traffic fines, penalties and parking charges incurred during your rental period, including those that arrive after the rental ends. Any administration fee for processing a fine is to be confirmed by Royal.

In the event of an accident, theft or serious damage, stop safely, contact the Rwanda National Police, obtain a police report and call us immediately. Do not admit liability or authorise repairs without our written agreement.

The insurance cover applicable to your vehicle, the excess payable and any exclusions are confirmed by Royal in writing before handover. Please do not rely on general statements about cover on this website.

Report warning lights, unusual noises or breakdowns to us at once. Mechanical faults that are not caused by misuse are our responsibility; recovery arrangements and any replacement vehicle depend on availability and location and are agreed case by case.

If you need more time, contact us before your return time so we can check availability and agree the extension. Unauthorised late returns may be charged at the applicable daily rate; the exact late-return charge is to be confirmed by Royal.

The vehicle may not be used for racing or driving tests, to carry passengers or goods for hire without agreement, to tow, to sub-rent, for illegal purposes, while under the influence of alcohol or drugs, or on terrain the vehicle is not suited to. Smoking inside the vehicle is not permitted.

Chauffeur-driven rentals include a professional driver. Daily working hours, overtime, and whether the driver’s meals and accommodation on upcountry trips are included are agreed per booking and to be confirmed by Royal.

We can deliver a vehicle to Kigali International Airport or another agreed location. Any delivery or out-of-hours charge is quoted when you book. Please share your flight details so we can adjust to delays.
